Google Review Reply Templates by Industry, With Examples
A reply that works for a coffee shop can go badly wrong for a dental practice, and a reply that suits a hotel can read as cold from a hair salon. The basics are the same everywhere, but each industry has its own sensitive spots: privacy for healthcare, the bill for auto repair, the address for contractors.
This post gives one positive and one negative template for six kinds of business, explains what to watch for in each, and links to a full set of templates for each industry, including mixed reviews and tricky situations.
What every good reply has in common
- Thank the reviewer and mention something specific from the review, so it is clear a person read it.
- Keep it short. A few sentences is enough for most reviews.
- Move problems offline with a real contact: a name, a phone number or an email address. Don't try to resolve a dispute in public.
- Sign with a real name and role.
- Never add personal details the reviewer did not share themselves.
In the templates below, replace everything in square brackets. Change the wording from reply to reply as well: the same paragraph pasted under every review is easy to spot.
Restaurants
Restaurant reviews tend to be about a specific dish, the service or the wait. Mention the dish by name when you can. Do not argue about taste. Treat any mention of food safety, allergies or illness as urgent: reply politely in public, then check with the kitchen and contact the guest directly.
Positive: "Thank you, [Name]! We're so glad you enjoyed the [dish]. It's one of [chef's name]'s favorites to make. We look forward to having you back. [Your name], [Role]"
Negative: "Thank you for telling us, [Name], and we're sorry the [dish] and the wait weren't what they should have been. We've shared this with the kitchen. Please contact [Name] at [phone or email] so we can make it right. [Your name], [Role]"
Dental practices
Privacy comes first. A reply should not confirm that the reviewer is a patient, and it should not mention treatment, appointments or dates, even if the reviewer brought them up. In the US, HIPAA applies to public review replies. Thank people in general terms and move any concern to a phone call. This is not legal advice: check with whoever handles compliance for your practice.
Positive: "Thank you for the kind words. Our team works hard to make every visit comfortable, and reviews like this mean a lot to us. [Your name], [Role], [Practice]"
Negative: "Thank you for letting us know. We'd like to understand what happened and help. Please call the office at [phone] and ask for [Name]. [Your name], [Role], [Practice]"
Salons and spas
Salon reviews are personal, and they are often about one stylist or therapist. Name the team member only if the reviewer did. For color or cut complaints, offer a free consultation or adjustment rather than debating the result in public.
Positive: "Thank you, [Name]! [Stylist] will be thrilled to hear you love your [cut or color]. We can't wait to see you at your next appointment. [Your name], [Role]"
Negative: "We're sorry you're not happy with your [service], [Name]. We want you to leave loving your hair. Please call [Name] at [phone] so we can book a time to look at it together [at no charge]. [Your name], [Role]"
Auto repair shops
Negative auto repair reviews are often about the bill, the time a repair took or whether the problem came back. Explain how estimates and approvals work at your shop in plain words, mention your warranty if you have one, and invite the customer back to look at the car. Do not post details of their vehicle or invoice beyond what they shared.
Positive: "Thanks for trusting us with your car, [Name]! We're glad the [repair] went smoothly. See you at your next service. [Your name], [Role]"
Negative: "We're sorry about the frustration, [Name]. [We always call for approval before doing work beyond the original estimate], and we'd like to go over the invoice with you. If the problem is back, please bring the car in so we can check it under our [warranty]. Call [Name] at [phone]. [Your name], [Role]"
Hotels and B&Bs
Hotel guests write about the room, the cleanliness, the noise and the front desk. Refer to their stay without repeating dates or room numbers. If something was broken and you have fixed it, say so. If you have not fixed it yet, do not say you have.
Positive: "Thank you for staying with us, [Name]! We're delighted you enjoyed [the view, breakfast, the location]. [Team member] will be pleased to hear the kind words. We hope to welcome you back. [Your name], [Role]"
Negative: "Thank you for your feedback, [Name], and we're sorry the [issue] got in the way of your stay. We've passed this to our [housekeeping or maintenance] team. Please contact [Name] at [email] so we can follow up with you directly. [Your name], [Role]"
Contractors and home services
Contractor reviews are usually about a single project, so they often mention timelines, cost changes, clean-up and communication. Never mention the customer's address, street or neighborhood in a reply. For delays, explain what caused them once, briefly, and offer a direct conversation. For work that needs fixing, point to your warranty or follow-up process.
Positive: "Thank you, [Name]! It was a pleasure working on your [project]. We're glad you're happy with how it turned out, and we're here if you need anything down the road. [Your name], [Company]"
Negative: "We're sorry the project didn't go the way you expected, [Name]. We take [timelines, clean-up, communication] seriously and want to put this right. Please call me directly at [phone] so we can talk it through. [Your name], [Role], [Company]"
Using templates without sounding like you're using templates
- Use the template as a structure, not a script: thanks, a specific detail, the next step, a signature.
- Change the opening line from reply to reply.
- Mention one concrete thing from each review: the dish, the service, the stylist the reviewer named, the project.
- Keep a short list of the specifics that are true for your business, such as your warranty, your booking policy and who handles complaints, so every reply gets them right.
- Read the reply as the next customer would before you post it.
For complaints that get the facts wrong, such as the wrong price, the wrong hours or the wrong business, see our guide to correcting the record without starting an argument.
