Dental Practice Review Response Templates and Examples

Replies for the Google reviews dental practices get, written so they never confirm that someone is a patient or describe their care. Swap in your details and sign with a real name.

Free plan: 15 AI replies in total, no credit card required.

How to use these templates

  • Never confirm that the reviewer is a patient, and never mention a procedure, a visit date or an insurance detail, even when the review does.
  • Talk about the practice in general ("our team", "our office") instead of "your visit" or "your treatment".
  • Move every concern to a phone call with a named person: the office manager, or whoever handles billing.
  • Replace everything in [brackets], sign with a name and role, and change the wording so each reply sounds like your office.

Replies to positive dental reviews

Thank them warmly and pass the praise on to the team member they named. Leave out anything about what was done in the chair.

A hygienist praised by name

Example review

“Maria was so gentle and explained everything as she went. Best cleaning I have had.”

Reply

Thank you for the kind words about Maria. We will make sure she sees them; reviews like this mean a lot to our whole team. [Your name], [Role], [Practice]

  • Thanks Maria without repeating "cleaning"
  • No "your visit" or "your appointment"

A nervous patient who felt at ease

Example review

“I avoided the dentist for years because of anxiety. Everyone here made me feel calm and never rushed me.”

Reply

Thank you for sharing this. A lot of people feel nervous about the dentist, and we work hard to make our office a calm place where nobody feels rushed. We appreciate you taking the time to write. [Your name], [Role], [Practice]

  • Speaks about the office in general, not about this person

Easy booking and a friendly front desk

Example review

“Called in the morning with a toothache and they found me a spot the same day. Front desk was lovely.”

Reply

Thank you for the review. Our front desk team will be glad to hear it. [We keep time open each day for urgent calls,] and it's good to know it made a difference. [Your name], [Role], [Practice]

  • Describes an office policy (only if it is true), not the toothache

Rating only, no text

Example review

“(5 stars, no comment)”

Reply

Thank you for the 5 stars. We appreciate it. [Your name], [Practice]

Replies to mixed reviews

Thank them for the good part, own the problem with the office, and give a name and number for the rest.

Kind dentist, long wait

Example review

“Dr. Patel was great but I sat in the waiting room for 45 minutes past my appointment time.”

Reply

Thank you for the feedback, and for the kind words about Dr. Patel. Waiting that long is frustrating, and we're sorry. We're [adding buffer time between longer appointments] so the schedule runs on time. If you'd like to talk about it, please call [Name], our office manager, at [phone]. [Your name], [Role], [Practice]

  • Fixes the scheduling problem without confirming an appointment

Insurance covered less than expected

Example review

“Nice office, but my insurance paid far less than the front desk told me it would.”

Reply

Thank you for raising this. Costs should be clear before anyone leaves our office, and we'd like to look into it. Please call [Name], who handles billing, at [phone]; they can go through the details with you privately. [Your name], [Role], [Practice]

  • No amounts, plans or claim details in public

Replies to negative dental reviews

Apologize for the experience they describe, say once that you cannot discuss care in public, and give a direct way to reach a named person.

Pain or discomfort in the chair

Example review

“It hurt the whole time and the dentist kept going even after I raised my hand.”

Reply

We're sorry to read this. Everyone should feel listened to in our office, and comfort matters to us. We can't discuss anyone's care in a public reply, but we would like to hear from you directly. Please call [Name], our office manager, at [phone]. [Your name], [Role], [Practice]

  • Does not confirm the procedure or argue what happened
  • "We can't discuss care here" explains why the reply is short

Rude front desk

Example review

“The receptionist was short with me on the phone when I tried to reschedule.”

Reply

Thank you for telling us, and we're sorry. Every caller deserves courtesy, and I'm following up with our team. If you're willing, please call me directly at [phone]. [Your name], Office Manager, [Practice]

  • Does not name or blame the staff member in public

A bill sent to collections

Example review

“Never got a statement, and the next thing I hear is a collections letter.”

Reply

We're sorry for the stress this has caused. Billing questions deserve a proper conversation, not a public one. Please call [Name] at [phone] so we can look into it with you. [Your name], [Role], [Practice]

  • Says nothing about an account, a balance or a date

No appointments for weeks

Example review

“Tried to book a checkup and the earliest they had was six weeks away.”

Reply

Thank you for the feedback, and we're sorry the wait was so long. [We keep a cancellation list and are adding Saturday hours,] so please ask about earlier openings when you call: [phone]. [Your name], [Role], [Practice]

Tricky situations

These are the reviews where a well-meant reply most often says too much. Stay general and polite.

The reviewer shares their own treatment details

Example review

“Had my root canal with Dr. Lee last Tuesday and the crown is already loose.”

Reply

Thank you for letting us know. We'd like to help with this. Please call the office at [phone] and ask for [Name] so we can talk it through. [Your name], [Role], [Practice]

  • Does not repeat the procedure, the dentist or the date
  • Call them back the same day

A cancellation fee complaint

Example review

“Charged a fee for cancelling the day before. Ridiculous.”

Reply

We understand a fee is frustrating. We ask for [48 hours'] notice because a late cancellation leaves time empty that someone waiting for care could have used. If something outside your control came up, please call [Name] at [phone]. [Your name], [Role], [Practice]

  • Explains the policy without confirming a booking

A review you think is from someone who was never a patient

Example review

“Worst dentist in town. Avoid.”

Reply

We're sorry to read this, and we'd like to understand what happened. Please call [Name] at [phone]. [Your name], [Role], [Practice]

  • Do not say "you were never our patient": that is a statement about who is and is not a patient
  • If the review breaks Google policy (spam, wrong business, conflict of interest), report it to Google

Templates are a starting point, and every review is slightly different. MagicReply for dentists drafts a reply to each Google review in a calm practice voice. The draft thanks the reviewer without confirming treatment, and someone at the practice edits and approves it before it posts.
