How to use these templates

  • Replace everything in [brackets], and keep the details the homeowner gave you: the job, the technician, the day.
  • Never post the customer’s address, the job price or anything from the invoice.
  • Mention warranties, arrival windows and clean-up policies only as they really work.
  • Sign with a name and role, such as "[Your name], Owner", so the customer knows who to call.

Replies to positive contractor reviews

Thank them for the specific thing they noticed and pass it on to the tech or crew by name.

A technician praised by name

Example review

“Luis showed up right on time, explained the problem with our water heater and fixed it in an hour.”

Reply

Thank you, [Name]! I'll make sure Luis sees this. On time and a clear explanation is how every visit should go, and it's great to hear it did. [Your name], [Company]

A clean job site

Example review

“They put down drop cloths, cleaned up every day and you would never know they were here.”

Reply

Thank you, [Name]! Our crew takes pride in leaving a home as clean as they found it, and I'll pass your words on to them. [Your name], [Company]

An emergency call

Example review

“Pipe burst on a Sunday night and they had someone here within two hours.”

Thank you, [Name]. A burst pipe on a Sunday night is stressful, and we're glad we could get there quickly. I hope the rest of your week was calmer. [Your name], [Company]

Thank them for the work, take the complaint about time or cost seriously, and say what is changing.

Good work, missed the arrival window

Example review

“Did a good job on the panel, but showed up three hours after the window they gave me.”

Reply

Thank you, [Name]. I'm glad the work was right, but three hours past the window means a lost morning, and we're sorry. [Our techs now text when they're on the way and call if they're running late.] I hope the next visit is on time. [Your name], [Company]

Final price higher than the quote

Example review

“The work is great, but the final cost was more than the quote.”

Reply

Thanks for the honest feedback, [Name]. When we find something behind a wall or under a floor that changes the job, [we stop and get your written OK before going ahead], and the reason should be clear on the invoice. I'd like to go through it with you; please call me at [phone]. [Your name], Owner, [Company]

  • No amounts in public

Replies to negative contractor reviews

Apologize, name the problem, and give a named person and a direct number. Agree on any fix or refund privately.

A mess left behind

A project that ran long
